Experience with Filevine and Outlook is a plus. You will record dates and deadlines from court notices into the firm's case management system, for all relevant events, such as motion submission and return dates, discovery, depositions, and trial. You will create tasks for these events, assigning them to firm personnel. The successful candidate will work in a friendly, collaborative environment and be responsible for coordinating all filings, docketing, and calendaring. Additional administrative duties to assist our Litigation Paralegals will be assigned as needed and this is an excellent opportunity for a candidate with 1-3 years of experience who appreciates an opportunity to learn from and assist our team of experienced Litigation Paralegals.
- Use of Outlook to add all events to firm calendar and FileVine practice management program
- Use of Outlook to add all Statute of Limitations dates to firm calendar and FileVine practice management program
- Assist paralegals with deposition preparation, and medical records summarization
- Assist paralegals with preparing pleadings, and handling the discovery and disclosure process on Tier 2 and Tier 3 trial cases.
- Assist the firm's Paralegals with other tasks as assigned
- Synchronize firm calendars across various programs
- Ensure firm document system contains all filed case documents
- Familiarity with court rules in federal and state court related to filing documents
- Contacting court clerks and chambers to confirm dates
- Familiarity with local rules for federal district courts and state courts, including individual rules of Judges and Parts
- File pleadings and paperwork with court to make deadlines
- Draft correspondence, discovery requests and certain pleadings
- Correspond with clients, insurance adjusters, doctors and attorneys
- Serve all documents filed within the courts, discovery, documents produced to clients, opposing counsel, experts, judges and court officials
- Create notebooks for attorneys pertaining to mediation, hearings, trial and depositions
- Organize claim files
- Respond to firm personnel questions about calendared dates and events, court procedures and compliance dates
- Familiarity with court rules for filings and service of documents, such as service of courtesy copies, font size, spacing, word counts
- Stay informed on procedural rule changes
- Management of the firms’s conservatorship cases-prepping all paperwork, sending notifications and copies of all paperwork, and maintaining contact with these clients every 4 weeks
- Maintaining and organizing all the firm’s Litigation files
- Any other duties as may be assigned
- Knowledge of PACER, CM/ECF, AZ TurboCourt
- Knowledge of Federal and Arizona Rules of Civil Procedure, Arizona Civil Practice Law and Rules, Arizona Rules of Court, Appellate Court Rules (Ninth Circuit, Federal and AZ State) and local practices
- Knowledge of MS Office Suite, Kofax and Filevine Docs Plus
- Demonstrated ability to complete complex filings in paper and electronic forms
- Able to work courteously/effectively with others
- Able to raise potential defects with filings based on experience and knowledge
- Minimum 1-3 years' experience in a high volume Personal Injury litigation office
- Self-motivated, dependable, able to multitask and work well under pressure.

Doug Zanes founded Zanes Law in 2003. Our firm’s first office was located in Tucson, Arizona, with Doug as the only attorney. His wife Claudia, who is a business executive, helped run the business operations within the law firm. During this time, we were able to count our entire staff on one hand.
